Who controls the data?
Ask where records live, who can export them, whether the church can keep a full copy, and whether access depends on an active subscription. Data portability matters more than almost any marketing feature.
A one-time software purchase can reduce recurring cost, but the sticker price is only one part of the decision. Churches should also understand hosting, data ownership, upgrades, backups, support, and what happens if the vendor disappears.
Most church software falls into one of two broad models: hosted subscription software or software a church licenses and runs in its own environment. Neither model is automatically better. The right choice depends on the church's budget, technical comfort, staffing, privacy expectations, and tolerance for recurring fees.
A monthly subscription generally bundles hosting, software access, and ongoing vendor maintenance. A one-time or permanent-license model can lower recurring software fees, but the church may take on more responsibility for hosting, backups, configuration, and future upgrades.

A product without a monthly software fee can still require database or hosting costs. Compare the total operating cost, not only the license price.
Find out whether the purchased version keeps working permanently, whether updates are included, and whether major upgrades are optional or required.
Some self-hosted products are easy to install. Others assume technical staff. Look for clear setup instructions, backup guidance, and a realistic description of what the church must manage.
“No subscription” should not be confused with unlimited support. Churches should know whether support is self-service, ticket-based, paid separately, or included for a period of time.
Feature count is less important than fit. A smaller tool that handles guests, nursery, classes, attendance, events, reports, and permissions well may be more useful than a larger platform full of features the church never touches.
SundayBuilt Church Suite is sold as self-service church management software with a permanent license for the purchased version. The church controls its own supported PostgreSQL database and can keep using the version it purchased without an annual software renewal.
Future major-version upgrades may be offered separately. They are optional rather than a condition for continued use of the purchased version.
